Job Title: Transport Coordinator

Reporting to: Transport Manager

Hours of Work: Working 5 days over 7, on 4-week Roster Cycle, to include weekend work and out of hours Emergency Call handling (sample Roster attached)

Roles and responsibilities:

As Transport Coordinator you will be working closely with the Transport Manager in the Transport Operations Office to assist in delivering the best customer experience in all areas of our operation: regular scheduled services, private coach hires, tours.

You will be responsible for:

  • Rostering of drivers for service work and private hires, ensuring the adherence to the current law and regulations as well as Company’s Policies.
  • Ensure the transport systems are monitored in real time and ensuring all scheduled services and private hire jobs are operating as planned and taking immediate corrective action if and when required.
  • Utilising company information systems and software to assist in efficient running of Transport Operations.
  • Allocation of company vehicles to Drivers/Jobs when and where required.
  • Movements of vehicles between depots to ensure all scheduled and non-scheduled maintenance works are carried out in an appropriate time frame.
  • Being the first point of contact to our Drivers, when they require guidance or assistance.
  • Communication between the Transport Operations Office and the Team of Drivers.
  • Ensuring all Drivers have the required information and guidance prior to undertaking any task.
  • Auditing Tachograph Data and Daily Walkaround Checks, and following up on any infringements on a weekly basis.
  • Responding proactively to changing situations and providing to solutions to challenges that arise.
  • Encouraging and enforcing a high level of safety in our operations with regard to Driver behaviour.
  • Fostering an environment of positive communication and respect for all drivers and passengers.

 

The ideal candidate will:

  • Be organised and focused with a proven ability to meet multiple deadlines.
  • Have attention to detail with strong IT capability.
  • Be able to demonstrate clear ability to direct and develop teams/individuals to reach tight deadlines and KPIs.
  • Be very comfortable working in a dynamic and fast changing environment.
  • Have an ability to work effectively under pressure and demonstrate a practical approach to problem solving. Possess strong interpersonal communication skills.
  • Have suitable experience of planning in the road transport industry would be a distinct advantage, however, full on the job training will be provided. 
  • Possess advanced IT skills, MS office as a minimum and experience in Management Information Systems.

The successful candidate will be responsible for the operation of the following areas:

  • Kilkenny / Tipperary / Limerick / West Waterford (Western side of the operation).
  • Assisting Transport Coordinator of other areas during his / her absence i.e. during days off or annual leave.
